Function/Position Description :
Under general direction, oversees and maintains overall customer satisfaction. Assists dealers in determining lead times for sales by providing accurate information regarding availability on orders. Determines shortages fairly and accurately and mediates discrepancies for the protection of the Company and the satisfaction of the customer. Approves all sales credits and parts returns. Positively promotes product/company image.

Customer Service and Integrity are the most important qualifications for this position
· Answering Phone Calls from Customers, ensuring great Customer Service while meeting their needs for parts quotes/orders
· Ensures Parts for customers are sent/delivered/COD
· Create Quotes for customers
· Ensure payment is received
· Ensures all parts are invoiced to appropriate service repair order
· Ensures all special order parts are accurately entered on appropriate repair Informs customers when special order parts have arrived and will be delivered.
· Serves customers in a courteous, helpful and professional manner
· Assists in working with service department to expedite handling of price quotes
· Provides customer a time estimate for obtaining part(s)
· Provides technicians with necessary parts with minimal wait time
· Assists in issuing and charging all parts against appropriate work orders/requisitions for accurate inventory control
· Maintains clean and orderly work areas and equipment
· Prepares recommended list of new parts to be stocked as required
· Controls daily parts ordered for service department
· Ensures all safety policy and procedures in accordance with OSHA, WHIMS, and company are strictly adhered to
· Multi-tasks (e.g., handling multiple phone lines, waiting customers, )
· Coordinates with service department, sales department and others to ensure that parts requests are met
· Identifies and supports opportunities for methods/process improvement in the Parts Department
· Uses phone, computer and other tools to procure needed parts
· Participates in departmental meetings
· Records back orders and monitors the status of back orders
· Uses computer to look up and monitor parts requests
· Uses computerized parts catalogs to acquire information on parts and accessories inventory
· Maintains tight control over parts inventory
· Open the warehouse for daily operations
· UPS shipping and receiving
· Loading and unloading HEAVY freight
· Posting parts sales to Service Repair Orders in ADP/CDK
· All Warehouse duties (organizing, labeling, cleaning etc)
· Putting all stock away in proper locations in warehouse
· Operate a Forklift
· Warranty, communicating with warranty person, sending parts back, proper documentation
· Picking up and delivering parts
· Closing and locking the building
· Code Parts Invoicing for accounting
· Other duties assigned by Parts Manager
