Job Title: Personal Assistant to the Marketing Director

Position SummaryThe Personal Assistant to the Marketing Director provides comprehensive administrative and marketing support to ensure smooth day-to-day operations. This role combines high-level administrative tasks with marketing coordination, supporting the Marketing Director in executing campaigns, managing schedules, and keeping the office organized and efficient.
Key ResponsibilitiesAdministrative Duties
Carry out administrative tasks such as filing, typing, copying, scanning, and organizing documents.
Review and respond to company emails, resolving issues within scope of knowledge.
Delete non-relevant emails (e.g., promotional content not related to business operations).
Exhibit professional communication via phone, email, and in-person.
Schedule business and personal appointments (e.g., meetings, doctor visits).
Make travel arrangements for senior staff (booking flights, cars, hotels, and restaurants).
Maintain and update the company directory as needed.
Proofread, maintain, and create company documents, letters, and communications (English & Spanish).
Perform data entry on required forms for leadership.
Meeting & Event Coordination
Greet and assist customers, vendors, and partners during appointments.
Prepare agendas, schedules, and materials for meetings.
Retrieve and summarize requested information from records, emails, and documents.
Marketing & Operational Support
Assist the Marketing Director in implementing marketing campaigns for food products and store promotions.
Help create and proof marketing materials
Coordinate logistics for events, pop-up markets, and seasonal promotions.
Maintain and organize vendor and customer files.
Monitor inventory of office and marketing supplies; order as needed.
Other Duties
Perform any other related duties as assigned by the Marketing Director or senior management.
Experience as a personal assistant, administrative assistant, or marketing assistant.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficient in Microsoft Office, Google Workspace, and Canva (or similar).
Bilingual (English/Spanish) preferred.
Ability to multitask in a fast-paced environment.
Prior experience in the food, retail, or hospitality industry is a plus.
