Purpose of the Position Geared Equity is seeking a highly organized and discreet
Personal Assistant to support the principals of a private equity office. This role requires a trusted professional with strong organizational skills, the ability to manage both professional and personal matters, and a proactive approach to anticipating needs. The ideal candidate thrives in a dynamic environment, balancing competing priorities with professionalism, confidentiality, and attention to detail.
Education and Experience Requirements Bachelor's degree preferred; experience as an executive assistant, personal assistant, or family office roles strongly valued.
Any combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
Essential Duties and Responsibilities: - Manage calendars, scheduling, and coordination of meetings, appointments, and travel.
- Act as a point of contact for the principals, screening communications and ensuring timely responses.
- Support accounting functions to ensure smooth financial administration.
- Draft, edit, and prepare correspondence, presentations, and reports.
- Maintain filing systems (digital and physical) for both business and personal matters.
- Coordinate vendors, service providers, and maintenance schedules.
- Assist with personal errands, scheduling, reservations, and event planning.
- Assist with document preparation for investments, philanthropy, and real estate projects.
- Coordinate with accountants, attorneys, bankers, and advisors as needed.
- Track deadlines, renewals, and reporting obligations for entities, trusts, and personal investments.
- Support due diligence and research requests.
- Process expense reports, invoices, and payments.
- Maintain accurate records of expenditures, reimbursements, and budgets.
Personal Attributes: - Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, QuickBooks, and web based database systems.
- Ability to adapt, multitask, and anticipate needs.
- Flexible, service-oriented mindset with willingness to support both personal and business matters.
- Assist with year-end audit and tax requirements as needed.
- Maintain records of company assets.
- High degree of discretion and ability to handle confidential matters.
