About us: Polynesian Adventure is the premier operator of sightseeing tours and private transportation in Hawai`i. We offer charter and tour services to the most sought-after locations in the Hawaiian islands, including breathtaking Haleakala and Road to Hana tours on Maui.

Under the direction of the Director of Maintenance, the Fleet Administrator will provide clerical support for the maintenance department to include maintenance-related functions for the Company’s fleet of vehicles on Oahu, Maui, Kauai and Big Island.

Essential Duties

  • Processes paperwork for the Department of Motor Vehicles (DMV) & Transportation (DOT).
  • Tracks registration, safety checks, and vehicle identification cards for vehicle fleet.
  • Process other operational decals for fleet vehicles.
  • Maintains vehicle records and preventative maintenance schedules.
  • Completes vehicle repair orders.
  • Data entry from Driver Inspection Reports (DVIR) or job cards.
  • Assist with recording and maintaining parts usage.
  • Assists the Parts department with warehouse inventory and tasks as necessary.
  • Filing of paperwork.
  • Must have a valid driver’s license.
  • Perform other job-related duties as assigned by Supervisor.

Knowledge, Experience, Other Requirements

  • One (1) year of clerical and/or administrative experience and ability to meet the minimum qualifications to perform the essential functions of this position. Experience in automotive industry a plus, but not required.
  • Proficient in Microsoft Word and Excel. Must be able to create and edit documents and spreadsheets.
  • Willing to learn customized data systems for maintenance and scheduling.
  • Must be detail oriented, finish projects accurately and on time.
  • Strong interpersonal skills.
  • Ability to resolve data errors and report discrepancies found based on standard operation procedures.
  • Ability to plan and organize office and projects.
  • Able to show initiative, multi-task and complete tasks with limited supervision and prioritize workload.
  • Skilled in both verbal and written communication.
  • Must be dependable and punctual to work as scheduled.
  • Assists with special projects to contribute to the overall success of department and the company.
  • Excellent verbal and written communication skills.
  • Outstanding customer service skills.
  • Uses good judgement and proper decision-making and time management skills.
  • Works well under pressure, has attention to detail and ability to multi-task.
  • Other: Performs other duties as assigned.
