We’re looking for an Executive Assistant to the Founder The Office of the Founder is responsible for managing the strategic priorities of the Founder of InRhythm, both internal and external. We would like to bring on an Executive Assistant to the Founder whose role will enable each of those strategic initiatives and priorities for the Founder through active project management and research of the most important topics for the team at any point in time. Founder Brand and Relationship Management: Curate and manage the Founder’s outward-facing image and engagements, inclusive of: Social media, blog posts, white papers, and articles Speaking engagements relevant to the Founder and InRhythm’s expertise Industry events, conferences, and client activities Non-profit events and initiatives Manage the Founder’s website and employee communication You will also serve as the steward of the Founder’s high-level relationship strategy. This includes maintaining visibility and engagement with the Top 100 clients and contacts, ensuring that conversations, connections, and opportunities don’t fall through the cracks. This will include, but is not limited to: Regular cadence for communication/marketing Scheduling meals/coffees to re-connect Sending gifts/insights on a semi-regular basis (i.e. Books, person-specific gifts, InRhythm Swag) Organizes and/or identifies enriching networking and development opportunities aligning with the Founder’s personal and professional growth parameters (i.e. industry execs worth connecting with, networking dinners) Special Projects / Research: Keep the Founder informed of relevant news, AI advancements, and training content (weekly curation of interesting articles/content) Research and recommend AI-powered tools or emerging technologies that can enhance productivity, decision-making, or InRhythm’s business strategy Conduct deep-dive competitive, product, and industry research, including synthesis and presentation of key insights Time & Meeting Management, Administrative Duties: Meticulously manages the Founder’s calendar to schedule and coordinate internal and external (client) meetings, with proactive planning for high-priority meetings. Ensures the Founder’s schedule retains pockets of unstructured time for high-priority strategic thinking. Guarantees every meeting with the Founder has clear objectives (POST), exhaustive pre-meeting preparations (shared 24 hrs in advance via Asana/Slack), and definitive outcomes. Provide "gatekeeper" and "gateway" roles, providing a bridge for smooth communication between the Founder and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the Founder. Prepares necessary materials ahead of meetings to support Founder’s preparation for said meetings (and ensure those materials are provided well ahead of Founder attending meeting) Manage Founder’s work travel, inclusive of developing detailed itineraries and scheduling necessary accommodations, transportation, or other necessary activities Manage Founder’s expenses and internal administrative reporting Organizational Excellence: This role is ideal for someone with world-class organizational skills and a systems-thinking mindset. You thrive on creating workflows, managing complexity, and building the infrastructure that lets Founders scale themselves. Build repeatable systems across tools like Notion, Asana, and Confluence Create dashboards, trackers, and timelines to support ongoing priorities Be proactive in identifying gaps, inefficiencies, or blockers—and propose solutions Additional Responsibilities: Support directly as the go-to person for all personal needs, including daily administration, calendar management, project coordination, correspondence, etc. Researching, organizing, and booking travel arrangements, reservations, appointments, etc. Assist with the planning, coordination, and execution of parties and events Manage and coordinate with family staff, vendors, and contractors for day-to-day items and various projects at multiple properties Act as a spokesperson for the client on all matters, sometimes making administrative decisions and taking action in the client’s absence Perform miscellaneous tasks such as managing household inventory, running errands, repairing household items, etc. Coordinate projects by capturing timelines and strategies and delivering progress updates Maintain a high level of confidentiality and trust Must Have: A minimum of 5–7 years supporting a high-performing Founder, entrepreneur, or C-suite executive, preferably in a technology, high-growth startup, or innovation-driven consultancy. High emotional intelligence, with the ability to manage up, manage expectations and think several steps ahead. Communication Skills: Exceptional written and verbal communication skills, with the ability to craft compelling messages for various platforms and audiences, including social media, blog posts, white papers, and internal communications. Strategic Thinking: Ability to think strategically and synthesize information from various sources to provide insightful, forward-thinking recommendations. AI-Driven Processes : Demonstrated experience leveraging AI-driven processes and tools (e.g. ChatGPT, Notion AI, automation platforms like Zapier/Make, AI-powered analytics) to streamline operations, surface insights, and enhance productivity across workflows Organizational Abilities: Meticulous organizational and time-management skills, with the capacity to manage the Founder’s calendar effectively and prioritize engagements according to strategic importance. Ability to multitask and prioritize daily workload. Project Management: Experience managing ongoing projects, initiatives, and marketing campaigns, with the ability to build out detailed project plans and ensure timelines are met consistently; experience working in Asana, Confluence, and Notion, and other project management systems is a plus Relationship Management: Strong interpersonal skills with a talent for nurturing relationships with top-tier clients, industry leaders, and internal stakeholders. Proven track record in high-level relationship management and executive brand building. Digital Proficiency: Familiarity with digital marketing tools and platforms, content management systems, and the latest trends in online brand building. Experience with Salesforce or other CRM platforms is a plus. Analytical Skills: Strong analytical skills, with the ability to conduct research, analyze data, and provide actionable insights on competitors, market trends, and business opportunities.
