Job Title: Executive Administrative Assistant

Type: Full-Time // On-Site (with infrequent remote work)

Overview:

Process Alliance seeks an individual to serve as an Administrative Assistant for the Senior Lead Team, which consists of Vice Presidents and the executive leadership team. The person in this role will manage calendars, schedule meetings, arrange travel logistics, plan events, run and manage reports, create presentations, and generally remove administrative tasks from Senior Leaders.

Key Responsibilities:

Executive Support

  • Manage calendars, schedule meetings, and coordinate travel arrangements for multiple Vice Presidents
  • Prepare and edit correspondence, reports, presentations, and other documents
  • Serve as the primary point of contact between executives and internal/external stakeholders

Meeting & Event Coordination

  • Organize and facilitate meetings, including preparing agendas, managing post-meeting information, and tracking action items
  • Coordinate logistics for on-site and virtual meetings, conferences, and client visits

Administrative Operations

  • Maintain accurate records, files, and databases
  • Process expense reports in a timely manner
  • Assist with special projects and initiatives as assigned by leadership

Communication & Liaison

  • Draft professional emails and communications on behalf of executives
  • Ensure timely follow-up on key priorities and deliverables

Qualifications / Necessary Skills & Experiences:

  • 3+ years of administrative experience supporting senior leadership, preferably in engineering, manufacturing, or consulting environments
  • Equivalent experiences in managing a diverse set of requirements, clients, and time zones while driving tasks to completion
  • Desire to help Process Alliance grow in a sustainable manner
  • Being a team player demonstrated by being humble, hungry, and smart
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management tools is a plus
  • Ability to handle confidential information with discretion
  • Professional demeanor and strong interpersonal skills
  • Detail-oriented with a proactive, problem-solving mindset
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to work quickly and develop solutions to problems
  • Proficient with Office 365 Suite: Teams, PowerPoint, Outlook, Word, Excel

  • Strong leadership skills
  • Experience with Acumatica ERP
  • Good problem-solving skills
