Administrative Assistant (CBS) Location Paola, KS : Elizabeth Layton Center is looking for a reliable full-time
Administrative Assistant for our CBS Children's Department. This is a full-time position with approximate work hours of 8-5pm with potential for some flexibility. EOE ELC is a not-for-profit community mental health center that has received provisional CCBHC (Certified Community Behavioral Health Clinic) certification. SUMMARY: The incumbent will provide administrative assistance to the CBS Director, Medical Staff, and other clinical staff as indicated. This will include coordinating administrative support for all CBS operations. Workweek scheduling will be flexible as this position may be responsible for covering vacancies in other administrative positions upon absence of reception staff. Hours will be based on coverage needs. The position reports directly to the CBS Director. MAJOR JOB RESPONSIBILITIES: - Provide reception coverage including greeting clients, collecting fees, scheduling appointments, and directing calls.
- Provide administrative assistance to the CBS Director, and other staff as directed
- Provide assistance to the medical staff for med refills, patient assistance, and pharmacy calls
- Provide administrative assistance to medical staff as directed
- Administrative support for weekly team meetings and other events as requested
- Oversight of CSR/AIMS data management for SED youth
- Organizes Daily Event forms for CBS Services upon receipt and forwards to the Data Entry Specialist when finished ensuring accuracy of the coding and duration of service
- Reconcile purchasing receipts and forward to accounts payable
- Completes reports for CBS department
- Training for new staff on electronic medical record
- Provides back up for other support positions in response to Center needs
- Completes other duties as deemed appropriate by immediate supervisor or other management staff
- Complies with ELC policies and procedures
EDUCATION and/or EXPERIENCE: - Graduation from High School or the equivalent
- 3 years experience with complex spreadsheet and word processing computer applications
- 3 years complex computer, typing, and data entry experience
- 3 years complex customer service experience
KNOWLEDGE, ABILITIES, AND SKILLS: - Ability to use own judgment in interpreting and adapting guidelines such as policies, regulations, precedents and work directions for application to specific cases or problems
- Ability to collaborate on policies and procedures for workflow processes
- Ability to establish and portray a positive working image with other departments and the public
- Considerable knowledge of secretarial practices and office procedures
- Good knowledge of business English, spelling, punctuation and vocabulary
- Considerable ability to maintain complex file systems
- Ability to understand and follow oral and written instructions accurately
- Ability to perform all job responsibilities with or without accommodations
